Warehouse receiving works best when the team knows what is arriving and how it should be handled. Use a clear checklist to connect the incoming cargo record with the stock that enters your storage space.
Before arrival
Share the expected arrival window, shipment reference, package count and handling needs with the receiving team. Prepare space and suitable unloading equipment. If the cargo needs a particular storage environment, confirm that requirement and the facility’s ability to provide it before delivery.
At the unloading point
Match the vehicle and shipment reference to the expected delivery. Check the visible package condition and count the packages using a consistent method. Record discrepancies and notify the coordinator promptly. Keep the unloading area safe and do not rush an unsuitable handling arrangement.
When recording the stock
Link the received goods to the purchase order or shipment reference. Use package or item identifiers that the dispatch team can follow later. If goods are destined for different branches or customers, separate and label them clearly to prevent confusion during onward delivery.
While the cargo is stored
Agree who can authorise access, repacking or release. Keep location records current when stock moves within the warehouse. Review the expected storage period and any relevant charges with the provider. A storage booking should state the service required rather than leaving handling expectations unstated.
Before onward dispatch
Confirm the outgoing quantity, destination and authorised receiver. Update the stock record and retain the dispatch documents. Good receiving information makes the next movement easier to plan and verify.
