Project cargo planning should begin with the load and the worksite. For equipment and materials entering Tanzania or moving to a regional destination, confirm dimensions, handling requirements and site readiness before dispatch.
Build a cargo schedule
List each item, its packed dimensions, weight and expected readiness date. Identify components that must arrive together and those that can be received separately. Keep drawings or photographs where they help explain unusual shapes. A project team needs to know which parts are essential for the next activity, not simply the total number of packages.
Ask the right handling questions
Confirm lifting points and handling instructions with the supplier. Ask qualified transport and lifting providers to assess the load and receiving conditions. Do not guess vehicle capacity or lifting arrangements from a photograph. Special transport or permissions, where needed, must be checked for the actual load and route.
Inspect receiving arrangements
Before shipment, confirm the worksite contact, access road, gate dimensions, laydown area and available unloading equipment. A site may be able to accept standard deliveries while being unsuitable for an oversized item. Tell the logistics coordinator about changes to access or construction activity before the vehicle is dispatched.
Connect shipping to the project sequence
Agree the order in which materials should arrive and how they will be identified on receipt. If storage is needed, discuss protection, access and the expected holding period. Delivery planning should account for the team and equipment needed to receive the cargo, rather than treating arrival as the end of the logistics task.
Keep a handover record
Record package counts, visible condition and any exceptions with the receiving team. Keep the shipment references linked to the project purchase order so missing information can be traced without searching across separate email conversations.
