A cargo delivery is easier to verify when the sender, driver and receiver agree what will be recorded at handover. A clear proof-of-delivery process supports businesses receiving goods in Tanzania and across regional supply chains.
Decide who can accept the cargo
Name the person or team authorised to receive the shipment. Give the transport coordinator a working contact and an alternative contact. If delivery is to a branch or worksite, confirm that the receiver knows the shipment reference and expected package count.
Check the packages before signing
Compare the delivered packages with the handover record. Look for visible packaging damage, wet cartons or broken seals where relevant, and record concerns accurately. Do not open or handle cargo in a way that creates a new safety risk. Follow the agreed inspection procedure for the shipment.
Write specific exceptions
A note such as “two cartons visibly crushed on arrival” is more useful than a vague statement that the goods look wrong. Record the affected package references and take appropriate photographs. Send the information to the coordinator promptly so the next steps can be considered under the relevant transport or insurance terms.
Keep the record with the shipment file
Retain the receiver’s name, delivery date, cargo reference and recorded exceptions. Share the completed record with the buyer and other agreed parties. A signed delivery document confirms the handover as recorded; it should not be treated as a substitute for the contractual procedure governing a claim.
Use delivery feedback to improve the next booking
Repeated difficulties with access, package labels or unloading equipment should feed into the next transport brief. The final handover is a practical source of information for better planning.
